Only a photo or an old model number? How to request the right equipment
You need another item like the one already in use, but the box is gone and the old quotation lists only a short description. Send the information you have, together with what you need the item to do. A photo helps a supplier investigate; it does not establish the exact specification or confirm that a replacement will fit.
Start with three useful photos
Photograph the item and its identifying details clearly enough to read without enlarging a blurred image:
- The whole item, showing its shape and where it is used. For an accessory, include the equipment it belongs to.
- The accessible product label, with the brand, model and any full item code visible. Send the original image and type the code separately if you can read it.
- The existing part or its packaging, if available. Include labels on boxes or bags and visible connection details. Photograph only what you can access without dismantling equipment.
Keep uncertain characters uncertain. If the label could say 0 or O, point that out rather than completing the code from memory.
A model, an item code and a serial number answer different questions
Copy the full model name, including any letters or numbers after the main code. A catalogue number, order code or part number identifies the item or variant being ordered. A serial number identifies an individual unit. A lot number identifies a production batch. Send the label when you are unsure which number is which.
For a spare part, give both the equipment model and the part code if known. The part’s shape alone is insufficient. If you have an old manual, send its cover and the relevant parts page; an old quotation or invoice can also help trace a previous item.
Add the purchase details the photo cannot show
Include these details alongside the images:
- What you need: another complete unit, a replacement part, an accessory or a consumable refill.
- Quantity and pack size: for example, 2 packs of 100 pieces, rather than 2 boxes with an unknown count.
- Use and essential requirements: the task, known dimensions, material or grade, and the equipment the item must work with.
- Delivery location and needed-by date: identify urgent items and whether separate deliveries are acceptable.
- Your contact details and any information still missing, so the supplier knows what to clarify before quoting.

Separate an exact repeat from an acceptable alternative
If the same item is essential, write “same brand and full item code only”. If you can consider alternatives, say which features must remain the same and which can change. Permission to compare another brand does not mean permission to change the material, size or intended use.
Ask the supplier to identify any proposed substitute separately and explain the relevant differences. A new model number or matching capacity does not establish compatibility. Review the exact item and supporting product information before accepting an alternative.
Two example requests
These examples illustrate what to include; they are not customer orders.
Repeat a consumables order
Please quote 2 packs of the filter paper shown on the attached box label, 100 sheets per pack. We need the same brand, full item code, grade and diameter for our existing procedure. Please confirm the current pack size and availability. Delivery is to Chiang Mai within three weeks. If that item is unavailable, please tell us before offering an alternative.
Identify a replacement part
We need 1 receiving flask for the filtration assembly in these photos. The equipment label and the separate flask are shown, but the flask’s part code is unreadable. Please check which replacement fits this assembly. We need the flask alone. If only a complete set is available, please quote it separately. Delivery is to Bangkok within one month; please confirm whether that is possible.
