SDS Register (ทะเบียน SDS)

What an SDS register is
A safety data sheet describes one product: its hazards, handling, storage and first-aid measures, in the 16 fixed sections the GHS system defines. The SDS register is the index over those documents. One row per substance records which sheet the organization holds, which revision it is, when it arrived and where it is kept, so the question an inspector or a new colleague asks first has an answer: is our SDS file complete and current?
A current SDS file is what safety systems expect as a matter of course. Thai workplace rules on hazardous chemicals and laboratory assessments such as ESPReL both start from the assumption that the sheets exist, are findable, and match what is actually on the shelf. A register that says so, with dates, is the difference between demonstrating that and asserting it.
SDS register vs chemical stock register
The two registers are often confused because both list chemicals. They record different things:

Keep both, separately. A laboratory can have every bottle counted and still fail the question about documents; the two registers fail in different ways, which is why one spreadsheet cannot be both.
What to record for every substance
The register columns, and why each one is there:
Chemical name, trade name and CAS
An SDS belongs to a specific product. The CAS number survives synonyms and translations; the trade name ties the sheet to the exact product on the shelf.
Manufacturer and supplier
The sheet comes from whoever made or sold that exact product. The supplier column is where a missing or outdated sheet gets chased.
Revision date and number
Currency is a property of the revision, not of having a file. Two revisions of one substance in circulation means one of them is wrong to use.
Date received
When the document entered the file, which is the honest answer to how long a gap existed.
Document location
A named binder, shelf or drive folder. A sheet nobody can find helps nobody in an emergency.
Where used
Which rooms or teams handle the substance, so printed copies live near the right benches.
Review due
The date that turns a vague intention to check into a row someone owns. The follow-up log carries the chase.
Three habits that keep the file current

Ask with the first order
Request the SDS with the first order of every substance, and again when the revision changes. The supplier of the exact product is the source; the register is where the request is tracked.

Keep it within reach
A sheet locked in an office drawer protects nobody. Printed copies near the work area, or files that open at once, are part of what current means.

Review on a schedule
Check revision dates against the manufacturer’s current sheet on the cycle your organization sets. The review-due column and the follow-up log turn the cycle into closed items.
A gap in the register is a supplier question
When the register shows a substance with no sheet or an old revision, the fastest fix is asking the supplier of that exact product. Common questions
What is the difference between SDS and MSDS?
SDS is the GHS-format safety data sheet with 16 fixed sections in a set order. MSDS is the older name for the same kind of document from before the format was standardized. New sheets from manufacturers are SDS; if your file still holds MSDS-era documents, that is usually a sign the revision is old enough to replace.
What should an SDS register record?
One row per substance: chemical name, trade name, CAS number, manufacturer, supplier, the SDS revision date and number, the date received, where the document is kept, the areas that use the substance, and the review-due date. Gaps and updates are then chased on the follow-up log until closed.
Where do I get the SDS for a chemical?
From the manufacturer or the supplier of that exact product and grade, and the reliable moment to ask is with the order. A sheet downloaded for a similar product from another brand does not describe what is on your shelf.
How often should SDS be updated?
Replace a sheet whenever the manufacturer issues a new revision, and review the file on the schedule your organization sets. Periodic review every few years is common practice; the register makes the cycle visible through the revision-date and review-due columns.
